Privacy Policy

1. Who this notice covers

This notice applies to information handled through apxcompass.com by Apex Consulting Group, the public-facing brand of Apex Building Maintenance & Services Ltd. References to “Apex,” “we,” or “us” mean that organization.

2. Information you may provide

You may provide your name, email address, organization, phone, role, location, facility or project details, approximate facility size, operating pattern, preferred timing, enquiry content, program application information, portal access request, newsletter subscription, and member-tool preferences. Website forms are securely recorded and routed to the relevant Apex workflow. Proposal and project records may also contain agreed scope, deliverables, milestones, fees, payment terms, acceptance decisions, documents, communication history, bank-transfer references, and optional proof-of-transfer files. Apex does not collect card numbers, CVV, Mobile Money PINs, OTPs, or online-banking passwords.

3. Energy Tools, assessment records, and accounts

Tools 01–03 require no identifying information. Tools 04–15 request an email-only access capture, and premium update forms collect an email address. Most calculator inputs and results run in your browser and are not saved by Apex. If you choose to create an Audit Readiness summary, Apex stores the respondent and facility context, every selected response, category subtotals, score, readiness band, ordered gaps, recommended path, generated PDF, source page, session reference, workflow history, and delivery log. Invite-only account access stores an email address, authentication records, security-session data, and any profile details supplied with an approved access request.

4. Secure document intake

Signed-in clients may upload PDF, Excel, and Word documents for assessments, projects, program applications, or enquiries. Apex records the submitting account, filename, type, size, purpose, facility, notes, and upload time. Files are stored privately and are available only to the submitting account and authorized Apex administrators. Uploads are checked against size, allowed type, and file-signature rules, but automated malware scanning is not currently included. Do not upload unnecessary sensitive personal, medical, payroll, payment, or identity information.

4A. GHS 50 facility benchmark

The benchmark workflow records account and contact details, facility identity and location, billing-period electricity use and cost, demand, floor area, operating hours, backup-power inputs, the investment question, uploaded bills or supporting records, automated screening indicators, consultant review notes, payment and release status, and the issued memorandum. Apex uses these records only to check completeness, perform the requested limited review, communicate with the client, administer payment, maintain a review trail, and meet professional or legal recordkeeping duties. Do not upload unrelated personal information. Benchmark source records and final memoranda are reviewed for deletion under the engagement-record retention period described below.

5. Why information is used

Information may be used to respond to enquiries, review portal access, assess a potential engagement, arrange a discovery call, provide requested services, secure and troubleshoot the website, and meet legal or professional obligations. Apex will not sell personal information.

6. Cookies, reliability, and analytics

Essential hosting, authentication, rate-limiting, and reliability technologies may process device, browser, security, session, route, performance, and error information. Error details are shortened and email-like text is removed before storage. Optional privacy-focused analytics activate only after the visitor allows analytics. They may record page paths, selected links or buttons, form and tool events, and approximate country and region supplied by the hosting network. Signed-in activity is associated only with a one-way pseudonymous member identifier, not the member's email address. Apex does not store the visitor's IP address in analytics records, use advertising cookies, or sell analytics data. Analytics records are automatically limited to a 90-day operational window.

7. Sharing and international services

Information may be handled by hosting, authentication, storage, email, communications, or professional-service providers only as needed for the relevant purpose. Some providers may process information outside Ghana and use their own security and transfer safeguards.

8. Retention and security

While an enquiry or engagement is active, Apex retains the records needed to respond and deliver the work. Unless a longer contractual or legal period applies, inactive general enquiries and Audit Readiness records are reviewed for deletion 24 months after the last activity; unsuccessful Founding Client applications and unapproved access requests are reviewed after 12 months; newsletter details remain until unsubscribe; security and delivery logs are reviewed after 12 months; and accepted proposals, project records, reports, invoices, and material correspondence may be retained for up to seven years after closure for professional, tax, recordkeeping, and dispute-prevention purposes. Uploaded documents are reviewed and deleted when the intake purpose has ended, subject to active contractual or legal duties. Deletion requests are assessed against active engagements and legal or contractual duties. Reasonable technical and organizational measures are used, but no internet service can guarantee absolute security.

9. Your choices and rights

Subject to applicable law, you may ask about personal information held by Apex, request correction, object to certain processing, unsubscribe from field notes through the link included in every newsletter, or request deletion where appropriate. You may also use the General route on the contact form. Ghana’s Data Protection Act, 2012 (Act 843) provides rights and responsibilities relating to personal data. Visitors may choose essential-only operation when the analytics preference banner appears.
